An introductory call should not feel like an exam in marketing. You do not need to arrive knowing which ad platform to use, what a funnel is, or which metrics matter most.
Our job is to understand how your clinic currently attracts patients, what happens after someone gets in touch, and where more booked consultations could realistically come from. We then explain the practical options in plain English.
Here is what we usually cover.
1. The treatment or service you most want to grow
We start with the commercial priority. That might be a newer treatment receiving good feedback, a high-value package, a service with unused appointment capacity, or a treatment that should be better known locally.
We will ask things such as:
- Which treatments would you most like to book more of?
- What does a typical patient pay, and is there a package or follow-on treatment?
- Is there a suitable introductory offer, consultation or deposit option?
- Are there any claims, images or before-and-after material that need particular clinical approval?
This helps us build medspa marketing around a real patient decision rather than simply trying to generate more clicks.
2. The patients and local area you want to reach
Good marketing is not about showing an advert to everyone. It is about making the right local people aware of a relevant treatment and giving them a clear next step.
We will talk about your service area, the types of patients you most want to attract, and any practical limits around travel, availability or treatment suitability. If you already know where your best patients come from, that is useful. If you do not, we can work it out together from what you have seen so far.
3. What is generating interest today
Many clinics are already doing something that produces interest: Instagram posts, referrals, Meta ads, word of mouth, Google searches, or the team answering direct messages.
We look at what is already working before proposing anything new:
- How many enquiries are coming in now?
- Which treatments or messages seem to get the best response?
- What have you tried previously, and what did you like or dislike about it?
- Do you have any historic ad results, booking figures or patient feedback we can learn from?
You do not need a perfect spreadsheet. Even a sensible estimate gives us a useful starting point.
4. What happens after someone enquires
This is often where the largest opportunity sits. Generating an enquiry is only the first step; the clinic still needs to respond quickly, answer questions, help the person book and reduce the chance of a no-show.
We map the current patient journey from first interest to consultation:
- A local person sees an advert, social post or Google result.
- They visit a treatment page, send a message or complete an enquiry form.
- They receive a prompt response and know what happens next.
- They book, pay a deposit if appropriate, and receive confirmations and reminders.
- Your team has the personal conversations needed to reassure, qualify and convert the right patients.
- The clinic can see whether the enquiry attended, proceeded with treatment and came from the right source.
We will ask who follows up, how quickly they can respond, whether appointments are currently booked manually, and what happens when someone does not book straight away. This is not about replacing your team. It is about making sure good enquiries do not go cold while the team is busy.
5. Capacity, appointment availability and the booking process
Marketing should match the clinic’s ability to deliver a great patient experience. There is no value in creating demand for appointments that cannot be handled properly.
We will discuss how many consultations or treatment appointments you can comfortably take each week, the times you want to fill, how your diary works and whether a deposit would be useful. We will also look at cancellation, rescheduling and no-show processes.
That allows us to set sensible expectations and focus on the booking journey that works for your clinic.
6. Your current website, advertising accounts and systems
We review the practical foundations. This can include your website, Google Business Profile, Meta advertising account, Facebook or Instagram pages, online calendar and any system you use to keep track of enquiries.
Some clinics already have strong foundations. Others are handling enquiries across phones, messages, emails and spreadsheets. Both are normal starting points.
Where a new landing page, CRM or automated follow-up would help, we explain what it would do in ordinary terms. For example, a booking and follow-up system can acknowledge an enquiry immediately, prompt the team to call, send confirmation and reminder messages, and show the status of every lead in one place.
The clinic remains in control of its treatment information, pricing, appointment availability, images and patient conversations. It should also retain ownership of its advertising accounts, contacts and campaign data.
7. What success should look like
We do not judge a campaign on form fills alone. A low-cost enquiry is not especially valuable if nobody answers it, it never books, or it does not attend.
Instead, we discuss the whole path:
- Cost per click and cost per enquiry
- Time to first response
- Percentage of enquiries worked by the team
- Booked consultation rate and deposit completion, where used
- Show rate, reschedules and no-shows
- Treatments sold and revenue, where the clinic can share the outcome
This tells us whether the issue is the advert, the offer, the speed of response, the booking process or the consultation itself. It also gives us a basis for improving rather than guessing.
8. Budget, priorities and a realistic first phase
We will be open about investment, including any one-off setup work, ongoing campaign management, advertising spend and software costs. You can provide creative assets, or we can advise on what needs to be created; either way, we will make the scope clear before work starts.
For many clinics, the right first phase is a focused 90-day plan: build the essential booking and follow-up foundation, launch one clear offer, measure the response, then improve what is working. Local Google visibility, broader SEO or additional treatments can be added once the core process is proven.
We will not promise a fixed number of bookings or revenue before the campaign has real data. Results depend on the local market, treatment, offer, advertising spend, capacity, speed of follow-up and consultation conversion. What we can promise is a clear process, transparent reporting and practical recommendations.
What you will leave the call with
By the end of an introductory call, you should have a clearer view of:
- The most sensible treatment or offer to prioritise
- Where potential patients may be dropping out today
- What needs to be built, improved or retained
- What your team will need to provide and approve
- A realistic first step, timeline and investment range
Most importantly, you should understand the reasoning behind the recommendation. The aim is not to overwhelm you with marketing terms; it is to give your clinic a more reliable way to turn local interest into well-managed bookings.
